Ace Cadre Teacher /                         Counsellor Responsibilities:

Implement the Ace Cadre curriculum, helping children in Levels  7 - 11 to improve literacy competencies, values and physical fitness in an activity-based Out-of-School school environment. Ensure the health, safety and well being of children in the program by providing close supervision of all activities. Maintain accurate program documentation (incident/accident reports, behavior logs, Assignments logs, Examinations logs, attendance & sign-in / sign-out sheets). 

Assist children with homework and guide students in their academic growth. Understand and communicate the Ace Cadre’s philosophy and the goals of the Academy, Out-of-School and Summer Programs to the students and parents. Plan and implement innovative age-appropriate academic activities and developing Schemes and lesson plans to conduct them on a daily basis. Maintain an atmosphere of acceptance, consistency and fairness in which participants may flourish and increase their self-esteem. Communicate with families about their children’s strengths and areas needing attention on a regular basis. 

Actively participate in all training sessions and designated meetings and special events. Attend the minimum required 40 hours of staff training during the school year, including Saturday trainings.  (Staff meetings are counted as mandatory Staff Development sessions).

Provide support to Specialists in implementing activities. Ace Cadre Calvacades, Ace cadre Expressions, Ace cadre Camps, Gymnastics, Music, Dance, Drama. Adhere to all Ministry of Education, Ministry of Health, Ministry of Youth and Culture Development, and Ace Cadre’s standards. Prepare the learning environment and necessary materials/supplies. Ace Cadre Academy –                           Principal - Major Function(s):

The Ace Cadre Academy (ACA) Principal is responsible for the management of the Ace Cadre Academy and Out-Of-school Instructional Program. The ACA Principal will be responsible for assisting in the daily operation of the George Street Georgetown Centre.  All sites are expected to be fully compliant with the Apostolic Change Education, Ministry of Education and Ministry of Health’s Child Care Quality Guidelines, all other agency policies, Country regulations, as well as the design of the particular program in which they work.  The ACA Principal will report to the Director General Assistant Education. Ace Cadre Sphere’s Program focuses on program quality, member satisfaction and the safety policies and procedures of Ace Cadre.

To organize with the DGA I monthly teachers' meetings for the purpose of defining and implementing areas of needs. To have pre-class parent/teacher interviews/dialogue as relates to every potential Acecers on Ace Cadre’s policies.  To complete the monthly report forms and report to the Monthly Ace cadre Directors’ Cerebrate, (Business meetings) making recommendations for areas of improvements. To coordinate with the Finance Comptroller registration, enrollment and interviews of all Ace students ensuring they pay and are issued with their receipts. All enrolment is subject to the approval of the Ace Cadre Board of Directors. To ensure, with the aid of the First and Fourth Director General, the Time Table is working optimally.

To maintain a very exemplary and professional standard with Ace Cadre Academy teachers and students at all times.

To make provision for staff attending all Staff professional development sessions.  To counsel with all Ace students (Acecers) as relates their welfare ensuring that student/teacher contact is at its optimal and making serious representation of any concerns at monthly Ace Cadre Cerebrate (Business Meetings).

To enact where necessary, corrective disciplinary measures towards improving Ace student's behavior subject to established Laws and the Board's approval.

To maintain within the Academy healthy record systems on students' attendance, test reports, instructional fees, copies of receipts, correspondence sent, correspondences received, etc and certificate issued.

To work with the Youth Commissioner to organize and direct the Ace Clubs programs ensuring that all students benefit and are made aware of club activities as a basic requirement of the Ace Cadre Academy.

Ensure that the Ace Cadre Centre’s Student Body Government is functional from within the first two weeks of the school term. Allow students a ten minutes snack break. Ensure that all students are exposed to weekly guidance counseling sessions. Examine weekly all Teachers prepared schemes and Lesson Plans order to counsel and guide in improvement opportunities.

Shall recommend to the Finance Comptroller and Second Director General for employment suitably qualified personnel who he/she deems carries the passion of the Cadre principles and policies. Shall prepare at the Beginning of each Instructional Period / Term The Internal and External examination Schedule.

The Principal and First and Fourth Director General shall closely monitor the preparation phase, execution phase, and the evaluation phase of all internal and external examinations The Director General Quality Control, and the Director General Education shall strongly recommend to any forum compliance to Ace Cadre Education  policies. In the event of any departure which may ultimately affect the development of any Acecer sanctions may be recommended up to and including termination. 

Assigned Duties:

Recruit, screen and recommend staff for hire.  Supervise staff in their work with children, ensuring that Ace Cadre and Ministry of Education standards are followed. Serve as a liaison with school Ministry of Education, administrators, faculties, specifically the principal and his/her designee, as relates any understanding developed in partnership with schools.  Coordinate data collection of Ace Cadre program evaluations. Manage a program component involving parents/guardians of children enrolled, scheduling parent and volunteer activities, conferences and programs.

Develop a network of relationships with community resources to enhance opportunities in and exposure for the program.

Coordinate and track staff participation in Ace Cadre Academy training activities and supervising their work with children to determine whether they are utilizing newly acquired skills and information. 

Convene and chair regular meetings for program planning and status review, also to conduct training in program content.

Facilitate relationships with Ace Cadre sponsors, preparing regular stewardship reports and conducting training in program content. Develop the weekly schedule, taking attendance, keeping track of student absences.

Manage the Ace Cadre Academy program / Centre’s budget, ensuring appropriate expenditure levels. Prepare written management reports on a quarterly, annual and quadrennial basis to Quality Control Evaluations Commissions (QCEC) Annual Conferences, and Ace Cadre Cerebrate.

Coordinate the student selection and registration processes.

Observe and assess the individual needs of children.  

Identify children with special needs and confer with the supervisor or other trained professionals regarding the advisability of a referral to an outside agency.  

Secure all of the supplies needed to operate the program.  Following an initial contact by the Director General and the Centre Director maintains the ongoing contact with the staff of the sponsor, encouraging their participation whenever possible.  

Handle all student-related problems, including behaviour problems.

Provide data required by the Research and Evaluation team, conducting surveys, etc as required. 

Manage administrative issues such data entry (Ms Access, Excel) human resources, reports, snack, space, security and all other administrative duties/documentation required or assigned for the betterment of the program in a timely fashion.

Ensure that adequate supplies and equipment are kept safe and are available to operate a successful program. Supervise Programs renting, Leasing Linkage Agreements. Supervise the Ace Cadre Academy and Centres as Officer on Duty. Must be available to work Saturdays and weeknights. Any other duties may be assigned.

Ace Cadre Academy Student Body Government:

The Student Body Government will function directly under the Coordination of the Ace Cadre Youth Commissioner who will sit on the Student Youth Government Board as ex officio with a voice and vote.


Purpose

To develop and implement efficient School Government policies by which the organization will function.

Student Leaders is empowered to maximize optimal leadership capabilities.

Student assists in ensuring a viable, effective and successful instructional school environment.


Philosophy

Students are empowered to lead their fellow students and others being the example and model for all citizens within the framework of godly governmental principles of good governance with the level of competencies worthy of national emulation.


Composition / Eligibility

The Student Body Government council shall be made up of first to fifth form students.

Prefects will be elected from among the students of Fourths and fifths and the assistant prefects will be elected from the first to the third forms.

Monitors of classes will be selected from all classes.

All students selected as prefects, Assistant prefects and monitors will comprise the student government council.

It is expected that all persons who are admitted to the student government will be people of moral character and integrity  , above average in their academic performance and show concern for all people.



Functions

To ensure effective classroom organization:  The cleaning of the chalk board after every instructional period. 

Ensure students and the sweeper cleaners Maintain a litter free and healthy environment.

Assist in the upkeep of discipline within the classroom in the absence or presence of teachers.

To ensure and encourage the physical presence of the teacher within the classroom for which he/she is timetabled to  teach.

Ensure the accurate documentation of student teacher contact hours on a daily basis and submitting a weekly report to the respective Level Heads or Directors.

Attend all student government business meetings and to submit monthly written reports on their Performance of duties.

The council will serve as the annual graduation exercise participatory conference team assisting the Cadre Academy’s administration in the planning and the implementation of the annual graduation exercise.


Ace Cadre Academy Student’s (Acecers’) Guidelines


Qualifications:                                                            Minimum 5 CSEC (CXC) subjects; Certificate / Diploma in Child Development or related field. Preferred two (2) years experience working with youth and planning activities. Excellent organizational, communication and writing skills. Strong computer skills a plus

Ace Cadre Academy aims at preparing and producing excellent academic scholars who are competent enough to perform in their and other  particular areas of  endeavors.

At The Ace Cadre Academy we enable each scholar access to quality approaches towards discovering their individual learning styles for excelling in this 21-ST century and beyond.

Our insightful fresh and varied educational approaches will enhance each individual’s confidence, conduct, and capabilities in this challenging and fast changing world.  Our committed and qualified team of Instructors and ministers will in addition to regular classes, provide guidance counseling, reading skills and other extra curricular pursuits such as camping and project destinations. These will certainly be offered as important educational and ministerial supplements from which each individual is expected to benefit.

Where necessary individualized attention will be given to each Ace Cadre Academy Adherent.        

How to become an (Acecer) Scholar at [A.C.E] Cadre Academy.


Each person / scholar must fill out the prescribed Academy Reg. form   with the required, relevant information. Adherents are expected to attend a pre-session Parent/ Teacher/ Scholar  session. Each adherent must pay their stipulated contribution in advance, either to the Academy Accountant or into the Academy Bank account.



General Responsibilities:

Attend all staff meetings and trainings. Maintain strict adherence to the policies and procedures of the Apostolic Change Education (A.C.E) Cadre at all times

Demonstrate the A.C.E Cadre’s core values of Faith, Father’s Heart Relationships, Integrity, Respect and Responsibility.

Report to work during scheduled hours.

Ace Cadre Academy Staff Expectations

Introduction: The Ace cadre Academy is a literacy-based program designed to assist public school children in levels 7-11, drop outs and adults, with the opportunity to further enhance their education and social development.

We at the Ace Cadre Academy will help encourage our youth to have a positive self-image and believe in their own ability to succeed by recognizing their talents, accomplishments and worth as individuals.  

Our program provides students with a variety of experiences in a learning environment.  

Children are free to explore new thoughts and ideas, engage in discussion and dialogue, and learn from mistakes in a supportive environment.  

Expectations:

As dedicated staff, you will support all children and stand as a role model as well as a nurturing and caring adult.   Children learn to imitate what they see, so be patient and respectful.   Staff will encourage students and stay involved at all times.  

You will help build character as well as teamwork and fair play.

The ACA Program is a literacy-based program, so remember to read to your group at least once a day.


Program & Staff Hours:

The program hours are from 8:00- 2:30; 2:45 – 8:00 pm Monday thru Friday and  Saturday 8:45 am – 3:00 pm.  You are expected to arrive 15 minutes prior to the start of your day.  The program demands you be on time, children depend on seeing you there when they arrive.  If you need to prepare materials, you are expected to arrive earlier, or take care of these needs the prior day.


Holiday Program hours are mandatory. We are open from 8:00am – 6:00pm and you are expected to work either a morning or afternoon shift.

Designated staff will be responsible for meeting students in designated areas.  

All program participants will arrive into program by 2:30pm.  You are also expected to attend weekly staff meetings that will run till around 8:30pm.  

Lateness / Illness / Time Off:


Lateness:  You must call the Program office ASAP.  Any calls for lateness after 8:00am / 2:00pm will be reason for being written up. 


Illness: If you are sick, and cannot, in any way, make it to work, you are to call out by 7:00am that morning. A doctor’s note is required


Time Off: If you need a day off, you must fill out a ‘Day Off Request Form’ at least a week in advance, and wait to get it approved.  You must also attempt to find someone to cover your schedule prior to requesting the day off.  If your request is not approved, you are expected to be at work on that day. 

Planned vacations are to be taken when school is not in session. Requests for vacation time scheduled during school/program time will not be approved.

Failure to follow attendance expectations will result in your receiving a write up and may also include termination of employment with Ace Cadre (see Termination Policy for details.) 


Time Sheets:

You are to use the designated form in the ACA office to “clock in and out” daily.

Completed time sheets are collected by your supervisor every Monday. 

All timesheets must be signed and dated.

Incomplete time sheets may result inaccurate pay or no pay.

All times sheets should be initialled (upon arrival) and let your supervisor know you are present and ready to work.  

After completing your shift and clocking out, you must vacate the premises. You are only permitted to stay on locations if there is a staff meeting or special event.


Professional Conduct:  Code of Conduct

All Ace Cadre Academy employees are expected to act professionally at all times.  This means that you must: Come to work on time and dressed professionally every day that you are on duty. Be prepared with lesson plans and/or activities in order to fulfil your responsibilities. Follow all safety and reporting protocols as specified by Ace Cadre Academy and Ministry of education.

Speak respectfully to all school staff, children, parents and one another, because you would like to be treated with respect too. No Foul language,  Teach by example – be the positive role model to our students. All Academy staff must model the following behaviors: Empathy  (showing understanding, sympathy or compassion). Honesty  (demonstrating truthfulness, integrity and sincerity). Positive word choices (encourage and uplift). Follow through on commitments (don’t set unattainable goals, make them manageable)

 

All Academy staff must remember that emotions are contagious. You must be acutely aware of your facial expressions, gestures, tone of voice, the affects of these communicative expressions on Ace cadre Academy  

students and others.  Any ACA employee caught or reported being disrespectful will be terminated.  

 

Under no circumstances should Ace Cadre Academy staff write any letters to parents regarding their child.  If a letter must go home, you are to put time aside to speak with your supervisor. Together you will discuss and create a plan of action.


Attire: Code Of Dress

All Ace Cadre Academy employees are expected to follow Ace cadre’s dress policy, which ensures that all staff is appropriately attired at all times.  For new employees, Ace Cadre will issue two purple polo shirts. Employees can wear either khaki or black pants (employee provides). If necessary, addition shirts are available for purchase. Under no circumstances will Ace Cadre  wear be altered to individualize or personalize their appearance (slits, shreds, graffiti, etc.).  

Bottoms must also represent an acceptable level of professionalism (no cut-offs, short shorts, skirts or jeans).

Make sure that you dress accordingly for your job, and that you are comfortable and able to interact with the children at all times.  Failure to comply with this policy will result in consequences from write-ups and up to and/or including termination of employment.

Ace adherents must be decently and modestly attired at all time when operating officially representing Ace.

Training and Staff Development: The Ace cadre Academy provides staff with the opportunity to attend paid trainings that focus on issues concerning our program. You must be available for the workshops / meetings sponsored by Ace Cadre or ministry of Education.  All staff must attend a total of 40 hours of training during the course of a program year.  Trainings occur during the time when program is not in session, including at least two Saturdays.  

Please make sure to keep track of all trainings you attend. 

Present all certificates of completion to your supervisor. 

A copy will be held in your permanent personnel file.

The workshops/meetings offered are a great resource for establishing a better classroom environment.  These meetings also allow the staff to work and think as a team, as well as allow each staff member to grow individually by listening and offering ideas.  Training hours are a requirement to maintaining employment with the Ace Cadre Academy.  Failure to attend and complete trainings may lead to termination.

 

Accidents / Incidents

In the event of an accident, contact your Supervisor immediately.  You must clearly communicate the incident to your supervisor.  You must also remain calm.  Make sure that children not involved in the accident are safe.  Your Director will act immediately to remedy the situation.  

This may involve contacting the school doctor, nurse, school security and/or emergency services.    

Staff must notify Program office of there is a need for nurse or security.

Parents/guardians of the child injured or involved in an incident will be contacted immediately.  Staff does not make these phone calls unless asked to by the ACA Principal.

Incident reports for Ace Cadre Academy and Ministry of Education must be submitted.  Ace Cadre Academy staff will be asked to describe the incident or accident.  

 

Discipline:  

You cannot yell, threaten or physically handle a student!  Ever!  If there are any behavioural issues in the classroom and you are unsure of how to address them discuss them with your supervisor.  Together, we will address this behaviour.    If a student’s behavior reaches a point of danger to self or to others contact the Principal at once.  The parent will be notified and will be asked to meet with staff person, Teacher and student to discuss and resolve the situation.

The Principal is the only person who has the authority to suspend or terminate a student’s enrollment.  This decision will be made with the input of staff.

It is expected that staff communicate regularly the behavior and progress of each child in your group. Do not wait for a situation to escalate before relaying a situation.

 

Photo & Video Policies: Pictures and/or video clips of children cannot be taken with staff’s personal cameras/video cameras. All photos and videos must be taken by Office owned equipment. Pictures and/or videos should not appear, for any reason, on any website such as but not including youtube, facebook, myspace, etc.  All pictures that exist of children on staff personal cameras must be submitted, destroyed, or deleted.


Confidentiality: Information obtained by parents, school or any agency is to be used strictly for program purposes. 

The rule of confidentiality encompasses trust and we must not violate this.


Petty Cash: If you require supplies for certain activities that our program does not have, you can only purchase these supplies with written approval from supervisor.  For reimbursement purposes you must have original receipts.  

You must also use a tax-exempt form (we cannot reimburse for the tax portion of your purchase.)


Trips: There will be several trips during the program year.   All staff will be expected to accompany their class on the trip, and some staff will be selected to stay behind with children not going on the trip.   Permission slips will be provided for each trip, you are expected to distribute and collect of them.   You cannot take any child on a trip without written parental consent.  There should be a 10:1 ration on all trips.  A First aide kit / Emergency Go Bag must accompany the trip. 


Evaluation/Assessment:

Staff assessment is useful from an educational and organizational standpoint.  

The ultimate goal is to serve our participants and to comply with our vision.  If there are any children in your class that are not at their level or may have behavioral or educational issues, please let your supervisor know.   Keep a written record of children’s behavior if you feel that there is a problem.

General Expectation Statement: We must follow the same rules as the students follow during day school.  However, children must always be accompanied by an adult.  No talking in the hallway/staircase. Walk in the back of the line, put responsible students in the front. Stop at every flight in the staircase. No running in hallways. Once in the classroom, children must be taken to the bathroom by ACA staff only.   Keep a log for every child and adult leaving the room.  Document the times they leave and return. If a child leaves the classroom unescorted, contact the office immediately. No eating outside of cafeteria. No putting hands on one another. Staff must make sure to interact with children at all times.

 

No cell phones during program. Make sure rooms are kept clean.

Staff working five hours or less are not permitted to a lunch break. Food and beverages are strictly prohibited except bottles water. Everyone is expected to hand in lesson plans every Tuesday. You will receive a copy of your lesson plan back by Thursday.  Lesson plans should also be visible during the time of instruction.


Termination:   The purpose of these policy / expectations hand out is to provide Ace Cadre Academy staff with clearly defined program expectations to assist you in your role as a program employee.  Failure to follow these guidelines will result in consequences up to or including the termination of your employment.  Termination may occur under the following circumstances:

If program design changes due to budget constraints or circumstances beyond Ace Cadre’s control.

If you fail to comply with your job expectations. 

If you commit an infraction of employee guidelines you will be terminated. 

Violators of Ace Cadre Academy’s Program policies will be placed on probation or terminated at the discretion of your Commissioner.  If on probation the duration will be determined by your Commissioner.
