COMMUNICATIONS
GENERAL SECRETARY COMMISSION
1. He shall ensure all duties that fall under the jurisdiction of the Communications’ Staff are executed in the most excellent manner.
2. The Secretary General shall have responsibilities and managerial oversight over the secretarial staff [i.e. all secretaries of Ace Cadre Sphere]. He shall ensure that the Communications maintain a viable Evaluation and research unit with the Director of Research coordinator at its head.
3. Shall ensure the communications maintains a viable evaluation and research dept. Develop a profile to give information on each leader, student, member, visitors etc.
4. He shall maintain all Consultancy Clinical records, their storage, use at consultations and also to keep for each and every Ace member, Staff and student’s accurate informative and updated developmental records.
5. Shall ensure each department receives a memorandum on the immediate upcoming statutory meetings, with its agenda attached,
one week in advance and to receive two typewritten copies of the minutes of the meetings immediately after or within twenty-four (24) hours of the meetings’ conclusion.
6. Shall maintain a Record of all Acecers; Directors, Staff etc. important Days e.g. birthday’s anniversaries etc. and make recommendation for honoring and their remembrances.
Conferences
7. The Commission General Secretary, Secretary General and Team shall be responsible to organize for the effective running of all-Quadrennial, Annual Conferences and auxiliary (Student Body) conferences – maintain and disseminate information on conferences’ itineraries i.e. dates and times.
8. Ensuring that all agendas, reports e.g.. Financial, auditory etc. are checked, corrected (edited), and are typewritten and bound for presentation at least seventy-two (72) hours before respective conferences ensue.
9. Shall account for the managerial, coordination and advertising of the spiritual and secular education of the Cadre Sphere.
10. Shall keep and maintain an Honor Hall of outstanding accomplishments of leaders, members, students and recommend for recognition and awards.
11. Maintain accurate and up to date records of membership, marriages, births, dedications, baptism, deaths, transfers, categories of membership, etc.
12. Keep on file copies of all financial transactions of the - vouchers, receipts, bills, auditor’s reports/statements.
13. Create and maintain the Ace Cadre Website to enable efficient worldwide networking and transfer of information via Internet technology.
14. He shall ensure the Cadre Sphere’s Directors prepare, publish, and maintain and distribute a viable annual Cadre Program’s Brochure or magazine, the monthly worship schedule, Acecomtech students lab work schedules, Guidance Counseling and Consultancy Clinic schedules and Acecers Coalesce Performing Arts Itinerary.
Ace Cadre Comtech Concerns Communications Preparations
Interview schedules- Registrations, application forms for employment set up by Communications and place on internet calendar and emailed to DG.
Badges- identifications Business cards, promotions Cadre Brochures magazines for distributions and advertisements.
Flyers, advertisements distribution, Tickets, for all funding activities
Programs preparation editing, Bookshop – education, Charge of seal / stamp, Whole Cadre Sphere enrolment. Attendances, Financial statistics, Membership statistics, Absentee / visitors slips, tracked weekly, Individual membership profile, Monthly / bimonthly / quarterly / annual / quadrennial reports prepared. Literature dissemination distribution center,
Marriage records, Dedication. Historical synopsis of Cadre Sphere updated
Philosophy, mission statement set up for easy access.
Computer hard ware and software inventory. Organization Chart, mounted for all to view. Cheques, bank statements, timely refreshed. Research, activated regularly purposely with regards to Ace Cadre vision. Printers, resograph, maintained- regulated preserved. Inventories correspondences, stored systematically. Stationery purchased and distributed wisely. Findings, curriculum of education ministry, secretarial minutes- is emailed presented or published.
